WhatsApp Business app vs API: which one does your business need?
By the Nexta Web Solution team · Updated
The short answer
The WhatsApp Business app is free and perfect for one person or a small team replying to customers from a phone. The WhatsApp Business Platform (API) is for when you need a shared team inbox, automation and chatbots, messages to thousands of opted-in customers, or WhatsApp connected to your website, CRM or store. With the API, Meta charges per delivered template message by category, while replies inside the 24-hour customer service window are free.
Side by side
| WhatsApp Business app | WhatsApp Business Platform (API) | |
|---|---|---|
| Cost | Free | Per delivered template message, plus your provider’s software fee |
| Who uses it | One phone plus a few linked devices | Unlimited agents through a team inbox |
| Broadcasts | Small broadcast lists to saved contacts | Campaigns to large opted-in lists with approved templates |
| Automation | Greeting, away messages and quick replies | Chatbots, flows, AI replies, triggers from your systems |
| Integrations | Very limited | CRM, website, Shopify, WooCommerce, Google Sheets, any API |
| Set-up | Minutes | Business verification and number set-up with Meta |
How API pricing works in India
Since 1 July 2025, Meta charges per delivered template message, by category and the recipient’s country. As reported for India in 2026, a marketing message costs a little under ₹1 and utility and authentication messages around ₹0.12 each, before 18% GST. Replies within 24 hours of a customer’s message are free, and utility templates sent inside that window are free too. Meta can change rates several times a year, so check the current rate card.
Signs it is time to move to the API
- Several people share one phone to reply to customers.
- Chats get missed and nobody knows who replied to whom.
- You want order, booking or payment updates to go out automatically.
- You need to message hundreds or thousands of customers who opted in.
- Leads from your website or ads should land in WhatsApp and your CRM together.
Using the API without a developer
To use the API you need software on top of it. WaClick, our own WhatsApp CRM, gives you a shared team inbox, a visual flow builder, AI chatbots and broadcasts on the official WhatsApp Cloud API, with a 10 days free trial and plans from ₹799 a month. WaClick also supports coexistence, so a number can keep using the WhatsApp Business app alongside the API.
If you need WhatsApp connected deeply to your own systems, we build custom integrations and bots; see WhatsApp bot development.
