For Tally we prefer XML or ODBC imports over screen-clicking, because imports are faster and do not break when a window moves. For older ERPs and portals with no API, we use UI automation with checks after every save.

Reconciliations that produce an exceptions list

GSTR-2B against your purchase register, bank against ledger, Razorpay or PhonePe settlements against orders. The bot matches what it can by rules you approve and hands your accountant a short list of mismatches to decide on.

Reading invoices and emails

Bots can pick up invoices from a shared inbox, read the fields with OCR where needed, validate GSTIN and totals, and park doubtful ones in a review queue. Nothing posts to your books without passing the rules.

We tell you when RPA is the wrong answer

If Tally, Razorpay, Shopify or Zoho offers an import or API for the job, a direct integration is cheaper to run and far less fragile than a screen bot. We will say so even if it means a smaller project.

Bots that ask for help

Captchas, OTPs and odd cases go to a human. We do not use captcha-solving services or anything that breaks a portal's terms. That keeps your logins safe and the bot predictable.

You own the bot

Code, flows and licences sit in your name. There is no per-bot rent to us. If you change vendors, the next team gets a documented project.

Hosting is in-house

A single bot with a clear process, such as daily report downloads or a fixed reconciliation, starts at ₹14,999 plus GST. Larger programmes covering several processes are quoted in writing after a free call and a short mapping session. Software licences, if the tool needs one, and the machine it runs on are billed separately at cost. Power Automate Desktop or Python can keep licence spend low for smaller jobs.

Most single bots go live in two to four weeks. The first week is mapping and quoting, the build takes one to two weeks, and the parallel run takes another week or two. Bots that touch many systems or need approvals from your IT team take longer, and we put the date in writing before work starts.

Whichever fits your setup and budget. Power Automate Desktop is a natural choice for Windows offices on Microsoft 365. UiPath is stronger when you need many robots, central scheduling and audit. Python is lean, runs on a Linux server and avoids per-robot licences, but needs a developer to maintain. We explain the running costs of each before you decide.

Not fully, and it should not try. The GST portal and many others ask for a captcha or OTP at login. Our bots wait for a person to complete that step, then carry on with the downloads or uploads. Where your GST software offers an official API route through a GST Suvidha Provider, we use that instead of the screen.

It will happen sometimes, so we plan for it. The bot stops cleanly, sends a screenshot to the person on duty and does not leave half-entered data behind. Fixes are covered under optional monthly support or billed per incident, and because you hold the source and runbook, any competent developer can also repair it.

Passwords go into a credential store, not into the code or a spreadsheet. The bot runs under its own user with the least access needed, on a machine only it and your admin use. Where a bank offers read-only or statement-only access, we ask you to use that. We also keep a log of every login the bot makes.

We will not promise a number on the first call. During mapping, your staff time the task for a few days and we estimate savings from that, minus the time someone still spends on exceptions. You see the estimate before paying for the build, and the parallel run shows whether it holds up.
