Structured sources before OCR

The most accurate OCR is the one you do not need. E-invoices carry a digitally signed QR code from the government portal, and Aadhaar holders can share a signed offline e-KYC file. We read those first and fall back to OCR only for what remains.

The right engine for each document

Open-source Tesseract for simple printed text, which also has Bengali and Hindi models, and cloud services such as Google Document AI, AWS Textract or Azure AI Document Intelligence for invoices and tables. We test on your documents and pick on results, not brand.

Field extraction and line items

GSTIN, invoice number, dates, HSN codes, quantities, rates and taxes pulled into fixed fields. Tables are rebuilt row by row, and supplier-specific templates handle the awkward layouts.

Validation rules that catch errors

GSTIN format and checksum, totals that must add up, tax rates that must match the HSN, duplicate invoice numbers, dates in range. A document that fails a rule never reaches your books unchecked.

A human review queue

Low-confidence fields are highlighted next to the original image so a staff member can confirm or correct them in seconds. Corrections are logged, which shows where the setup needs improving.

Integration where the data is needed

Approved data goes to TallyPrime as purchase vouchers, to your ERP or CRM through its API, or to a database and Excel. Capture can come from a shared email inbox, a scanner folder, a mobile app or WhatsApp.

Privacy for ID documents

Yes, to a degree. Tesseract has trained models for both Bengali and Hindi, and the major cloud services also support Indian scripts. Printed text works much better than handwriting. We test your actual regional-language forms during discovery and tell you honestly which fields can be automated and which should stay with a human.

Yes. After validation and review, purchase invoices can be pushed to TallyPrime as vouchers with the right ledgers, GST rates and items mapped once with your accountant. Duplicate checks stop the same bill from being entered twice. Your accountant still has the final say, but no longer types each bill.

Processing ID documents needs the person's consent and a clear purpose, and you should keep only what you need. For Aadhaar, UIDAI offers paperless offline e-KYC, a digitally signed file the holder shares, which is usually a better route than scanning a photocopy. We design consent capture, masking and deletion into the system, and recommend you confirm your obligations with your legal adviser.
