Zoho CRM vs a custom CRM: which should you choose?
By the Nexta Web Solution team · Updated
The short answer
Zoho CRM is a strong, affordable choice for a standard sales pipeline: you can start free with a few users and grow on a per-user monthly plan. A custom CRM makes sense when your process does not fit a pipeline (site visits, service tickets, dealer networks, field staff), when per-user fees add up across a large team, or when the CRM must be the hub for your app, website and WhatsApp. Customising Zoho is a third option that often sits in between.
Side by side
| Zoho CRM | Custom CRM | |
|---|---|---|
| How you pay | Per user per month, in tiers; a free edition for very small teams | One-time build from ₹1,50,000 + GST, then hosting and support |
| Time to start | Days | Weeks to a few months |
| Fit to your process | Configurable within Zoho’s model | Built around your exact steps |
| Large teams | Cost grows with every user | No per-user licence |
| Integrations | Large marketplace, especially Zoho’s own apps | Whatever you need, built directly |
| Data ownership | In Zoho’s cloud, exportable | On your server or cloud account |
| Maintenance | Zoho handles it | You or your developer |

Choose Zoho CRM when
- Your sales process is a classic lead → deal → won pipeline.
- Your team is small to mid-sized and growing slowly.
- You already use Zoho Books, Mail or other Zoho apps.
- You want to start this week without a project.
Choose a custom CRM when
- Your work has steps a pipeline does not model: site visits, installations, service visits, renewals.
- Many field staff, dealers or franchisees need access, and per-user fees add up.
- Leads arrive from your own app, website forms and WhatsApp and must be routed by your rules.
- You need the data on your own server for policy or client reasons.
A quick way to do the maths
- 1Count the users who would need a CRM login in three years, not today.
- 2Multiply by the Zoho edition you would really need, per month, times 36.
- 3Add Zoho customisation or consultant costs if your process needs them.
- 4Compare with a custom build (from ₹1,50,000 + GST) plus three years of hosting and support.
For a team under 10 on a standard pipeline, Zoho almost always wins. For 30+ users with unusual workflows, custom often costs less over three years. Scoping starts with a ₹24,999 + GST discovery sprint, credited to the build.
